- Hire Instructions
1.1 Please bring photo ID (passport or driving licence preferred) on collection of your bike box.
1.2 We will arrange directly with you (the hirer) a convenient time to pick up and drop off the bike box at our offices or we will arrange a convenient delivery and collection time (section 4 below).
1.3 Although our bike boxes, Trico Iron Sports Cases, are heavy duty products and we accept general wear and tear, we ask that due care is taken when handling and travelling with them. As the hirer you are responsible for the security and safe keeping of the bike box and items packed inside for the duration of the hire period.
1.4 Avoid storing your bike box in wet conditions.
1.5 Only use approved TSA LOCKS® or cable ties to secure your Trico Sports Iron Case to avoid expensive damage by custom officials. A TSA approved lock can be hired from us at the cost of £10 per lock for the duration of the hire.
1.6 Please be aware that your bikes and bags may be searched at any point on your journey, so please don’t pack any illegal items. By agreeing to our terms and conditions you are taking full responsibility for all items encompassed within your belongings (including your bike itself). We take no responsibility for any items deemed illegal by customs or any other law enforcement agencies.
1.7 Please return your bike box in good condition and with all items intact ie the internal foam padding and external straps. Lost or damaged items (including parts and the bike box) will be charged at retail price plus postage.
1.8 Remove all delivery/flight labels/bar codes before returning your bike box.
1.9 Report any damage in transit to the appropriate authority immediately to support your insurance claim. Please take photographic evidence and send copies to us as soon as possible.
1.10 On return please empty your bike box of any rubbish and dirt.
1.11 Return your bike box in the packaging provided if using a delivery and collection service.
1.12 Please respect your fellow riders and return your bike box on the agreed date. If you are delayed through circumstances out of your control please notify us as soon as you can. Late charges of £7.50 per day per bike box will apply. After 3 days this charge will be doubled to £15.00 per day per bike box.
- Insurance
2.1 Cotswold Bike Box Hire does not insure your bike or other items packed inside the bike box. Please speak to your travel insurance provider to ensure your bike, the bike box and personal possessions are adequately covered. We recommend specialist bicycle and cycle travel insurance. 2.2 We do not accept any liability of damage caused to bikes or equipment whilst in our bike boxes. However we do guarantee our bike boxes are the safest option for transporting your bike.
- Charges and Cancellations
3.1 The hire charge per day is £5.00 and can be made by bank transfer, cheque or in cash.
3.2 A full day’s rate is charged for the ‘hire start date’ and ‘return date’ to avoid bookings overlapping on the same day.
3.3 In addition to the rental fee, a security deposit of £100 per box is required (payment can be made by cheque payable to Mrs D Williamson. If a cheque is not available then payment can be made in cash.
3.4 A full refund (minus a £5.00 admin fee) will be given upon cancellations within 14 full days notice prior to your hire date. Cancellations made with less than 14 days notice will be subject to a £25.00 charge. Cancellations made with less than 24 hours notice will not be refunded in any circumstances.
- Delivery & Collection
4.1 When booking your hire please allow extra days each side of your travel dates to accommodate reasonable time for delivery, packing and collection. Please note that we require your hire dates not your travel dates.
4.2 Local delivery and collection charges are charged at £5 per mile for one box up to a maximum of 20 miles from WR12 7JP. Additional boxes going to the same address are charged at £10 each way for delivery and collection.
4.3 Same day local deliveries will be accommodated whenever possible.
4.4 Delivery and collection times to suit can be arranged. We cannot be held responsible for late delivery due to unforeseen circumstances due to bad road or weather conditions. If we are running late you will be notified as soon as we are aware and every effort will be made to get to you as soon as possible.
4.5 We reserve the right to deliver your bike box earlier than your hire date to accommodate other deliveries in the same direction. We will always call you to arrange this in advance with no charge for extra days.
4.6 We reserve the right to pass a local delivery on to a third party delivery company if we do not have a driver available or our vehicle is fully booked.
4.7 With prior agreement, bike boxes will be left in a safe place or with a neighbour if you are not at home. Please notify us of your preference. It is advised that you are there to accept your bike box delivery in person if possible.
4.8 We reserve the right to charge for failed delivery or collection attempts if the fault is with the customer and again for second attempts, such faults for example being an incorrect or incomplete address supplied, no reasonable access or no safe place as described by you.
4.9 Please arrange collection and return times in advance as we are sometimes out of the office on deliveries.
